Registration Procedure

All participants must be registered.
Advanced registration will be accepted only until May 10, 2010. After this date, registration will be taken on-site. Registrations will be confirmed by email.

Cancellation Policy

General Conditions
All cancellations must be notified in writing to the Congress Office.
All refunds will be processed after the Congress.
Requests for refunds made after June 21, 2010 will not be considered.

Refund of registration fees
Cancellations on or before March 15, 2010 : 50€ will be withheld
Cancellations from March 16, 2010 : no refund

Currency

The French currency is the Euro. All congress rates are quoted in Euro.

Scientific and Technical Exhibition

The exhibition, open to manufacturers of materials and equipment, and scientific publishers, will be held in the welcome area (Salon Joffre).

Coffee Breaks and Luncheons

Coffee breaks will be served in the welcome area (salon Joffre) and buffet luncheons will be served in the restaurant of the Ecole Militaire.

Letters of invitation

Official letters of invitation can be sent by the Congress Office upon written request. These letters do not commit the Congress to any financial obligation. It is the participant’s sole responsibility to verify entry requirements into France. Requests for letters of invitation will be processed until April 30, 2010.

Foreign delegates (except subjects of EC countries and Switzerland) should contact the nearest French consulate or embassy regarding visa formalities for their visit. Please allow sufficient time for visa requests.

Be the hosts of Princess Edmond de Polignac’ memory for an exclusive and friendly moment at the Fondation Singer Polignac.

The Fondation was created by Raymond Poincaré at the instigation of Winnaretta Singer, Princess Edmond de Polignac, and was ratified by law on 25 March 1928. On her death in 1943, Winnaretta Singer left her private mansion on the avenue Georges Mandel in Paris to the Fondation Singer-Polignac, which moved in there two years later. The current President of the Board of governors is Professor Yves Pouliquen of the Académie française. Following the example of Winnaretta Singer, who long patronized the plastic arts, music and science, the Fondation Singer-Polignac is devoted to patronage of culture.

You will have the exclusive opportunity to assist to a private concert, followed by a dinning cocktail in the lounges of this prestigious mansion.

V.A.T (Value Added Tax)

The Value Added Tax (VAT) is included in all fees of the Congress. According to the European Tax Legislation, organizers of international congresses and services companies have to invoice all services with 19,6% French VAT (“TVA” in French).
As a participant in the EASDec Congress you may (if you are a tax-registered company/organisation in your home country) recover the VAT paid on certain types of expenses occurred.

REFUND OF FRENCH VAT

The receiver of French VAT refund, taxable persons established in another Member State of EU must submit their application via the electronic portal provided by their Member State of establishment.
The information to be entered in electronic form has been standardised at EU level and agrees with the information specified in Directive 2008/9/EC :

- Identification of applicant and bank account details (art. 8.1)

- List of purchases/imports (art. 8.2) using code to describe the nature of the goods/services acquired (art. 9)
The Member State of establishment will check that the applicant is a taxable person before forwarding the electronic application to the Member State of refund pursuant to art. 18 of the Directive.

If the refund application relates to a refund period of less than one calendar year but not less than three months, the amount of VAT for which a refund is applied for may not be less than EUR 400 or the equivalent in national currency. If the refund application relates to a refund period of a calendar year or the remainder of a calendar year, the amount of VAT may not be less than EUR 50 or the equivalent in national currency.

France required some specific information as follow :

- The taxable amount and the amount of VAT must be expressed in €

- The nature of the goods and services acquired must be indicated by a secondary code in addition to the classification set out in art. 9.1

- Applicants must attach to their electronic refund applications scanned copies of invoices or important documents if the taxable amount is EUR 1000 or more, or EUR 250 or more where fuel is concerned

- The applicant must provide a description of their business activities using NACE codes

- “Free text” fields in the refund application must be completed in French or in English. Replies to information requests from the administration must also be written in one of these languages

The refund application may also be submitted on behalf of the taxable person by a third party appointed for this purpose (an agent).
